JOB PURPOSE

This position is responsible for coordinating and supporting the end-to-end delivery of the Employers’ Solution Centre’s (ESC) Industrial Relations and Human Resource Management services and products by receiving client queries, managing service workflows, maintaining robust documentation systems, and coordinating stakeholder engagement in order to ensure effective service delivery, regulatory compliance, client satisfaction, and revenue support. The ESC is the subsidiary of the Employers' Consultative Association of Trinidad and Tobago (ECA).

 

JOB SUMMARY/SCOPE

The Industrial Relations Administrator is responsible for coordinating and supporting the delivery of ESC’s Industrial Relations and Human Resource Management services to clients, including members of the Employers’ Consultative Association (ECA). The role ensures effective execution of services through the scheduling of engagements, preparation of service documentation, and coordination with Advisors/Consultants, while applying judgment in assessing and triaging client queries to facilitate appropriate service support.

The incumbent maintains accurate and audit-ready service records, coordinates interactions with external bodies including the Ministry of Labour and the Industrial Court, and supports financial processes through collaboration with the Finance Department for invoicing and revenue/expense tracking. The role contributes to business development through proposal preparation, client engagement, and service promotion and supports departmental planning, reporting, and budgeting activities.

Through effective coordination, documentation governance, and stakeholder engagement, the role supports the delivery of compliant, consistent, and client-focused HR/IR solutions while contributing to operational efficiency, service performance, and organisational growth.

 

KEY DUTIES AND RESPONSIBILITIES

  • Receives and coordinates the delivery of industrial relations services, inclusive of liaising with and assigning Advisors/Consultants, including scheduling meetings, and preparing service-related documents
  • Monitors, tracks and prepares periodic reports on service delivery, including service revenue and costs
  • Triages queries/requests to discuss, clarify or revise project needs/activities with clients and Advisors/Consultants
  • Provides basic HR/IR advice to members
  • Maintains an appropriate and accurate system for filing or storing call logs and service records ensuring adherence to deadlines
  • Interacts with the Ministry of Labour/Industrial Court on behalf of the company or the company’s clients regarding new or ongoing matters, documentation needs and any related follow-ups.
  • Works closely and collaboratively with the Finance Department regarding invoices or any payments due or owed.
  • Drafts and recommends service-related estimates, proposals, tenders, quotations for approval and subsequent transmission to the requesting party.
  • Drives and coordinates business development activities to secure new or repeat business for HR/IR products and services
  • Coordinates disciplinary hearings, investigatory meetings or consultancies, as required, including the recording or preparation of Minutes, transcripts or meeting outcomes
  • Participates in the development and preparation of departmental budgets, plans, and projections
  • Maintains confidentiality and discretion in all IR/HR matters in accordance with company standards, statutory requirements or client needs
  • Prepares periodic departmental reports

 

QUALIFICATIONS AND EXPERIENCE

  • Minimum Requirements
    • Bachelor’s Degree in Industrial Relations, Labour Law, Human Resource Management, or a related field
    • Minimum three (3) years’ experience in an IR/HR services environment in a role involving case/service coordination, and preparing IR/HR documentation
    • Working knowledge of industrial relations principles and practices, and labour legislation, including disciplinary and grievance processes
    • Demonstrated experience supporting conflict resolution processes
  • Assets
    • Master’s Degree in a related discipline
    • Certificates in Industrial Relations and/or Labour Laws
    • Experience liaising with external labour authorities/tribunals and managing filing/documentation requirements
